As always, Raintree’s continued mission as an all-in-one electronic record system (EMR) is to provide therapists with a simple and efficient therapy and rehab provider journey that enables a stronger focus on patient care while also meeting the business needs for compliance, billing, and reporting.

Our digital solutions have been designed to revamp provider workflows for all aspects of clinical care, not to mention improved documentation technology that is fully functional, responsive, and accessible from any device, but it’s time for improved designs that can further streamline your processes! Raintree strives to deliver all of this and more through an intuitive and simplified user interface to further reduce the training time needed for staff as well as allow providers to start efficient documentation methods faster than ever.

Let’s take a closer look at the upcoming evolution of Raintree’s provider workflows.

Redesigning a Component at a Time

The provider journey will be re-designed in components, some that are shared between all providers, and some that are more specialty-specific. After all, change takes time and effort, and we are committed to doing it right! Here’s a list of components that will be reviewed for redesign:

  • Patient Chart
  • Provider Dashboard
  • Medical Histories
  • Case Records
  • Objective tests and exams
  • Patient Questionnaires
  • Adult Therapy Note
  • Pediatric Therapy Note
  • ABA Note
  • Specialty services notes (e.g. chiropractic, behavioral health)

If you’re worried about how this overhaul will impact your current processes, we’ve got you covered! The redesigned workflow will have the capability to blend current and new generation Raintree, so that you can benefit from an updated provider journey, even while other sections, such as billing workflows or patient intake, are still in the design phase.

Improved Efficiencies for Clinical Documentation

The bulk of these redesigns focus on improved efficiencies. In the near future, providers can expect a simplified interface that allows users to easily access the items that they use and need regularly.

What’s more, therapists can take advantage of an enhanced documentation process with starter templates that are driven by case type, which can determine which sections are visible when the note is open. These templates can be customized further with the ability to add or remove any section based on the needs of the patient, eliminating the amount of time needed for a provider to navigate through a lengthy patient record.

Other optimizations include voice-to-text compatibility, quick access to historical data that can offer quick insights into patient progress, as well as toggleable features that allow providers to personalize their notes with measurement preferences (for example, using percent over degrees to measure patient data).

Designing the Future Therapy and Rehab Provider Journey

So how exactly are we going to tackle such a massive upgrade to our platform while maintaining usability and compatibility? First, we’ll need to understand what the design process actually looks like.

Designs start as wireframes, which are two-dimensional illustrations of an interface that specifically focuses on space allocation and prioritization of content, functionalities available, and intended behaviors. For these reasons, wireframes typically do not include any styling, color, or graphics and can be a little difficult to look at.

Once the wireframe has been approved, the design team starts fleshing things out, transforming it into a usable design with color and functions.

After the designs are finalized, the project is handed over to the engineering team, who then starts adding functionality behind the interface, turning the concept into reality!

As straightforward as the design process seems, a lot of feedback and open discussion is needed to ensure the final product benefits all parties. That’s where surveys, user group feedback, focus groups, and A/B testing comes in! We depend on your thoughts and concerns to refine our end product and make it the best it can be. Here’s a small sample of the questions you may see from our teams:

  • What are the current challenges we are trying to solve?
  • What are the things users really like and would not want to lose?
  • Does the new workflow meet the users’ needs?
  • Is the design intuitive and able to be used with little or no training?
  • Is the workflow efficient?

Putting Feedback to Work

To help us gather the information we need to deliver truly efficient redesigns, we hosted a focus group over the summer to determine what “perfect documentation” would look like. These 6 sessions over a 12-week period included both Raintree users and non-Raintree users for a balanced mix of feedback, and we couldn’t be more pleased with the results! A big thank you to Krisi Probert from Upstream for coordinating and leading this group.

Here are just some of the key concepts that the focus group wanted to see in future Raintree updates:

  • A simplified view for documentation with fewer items on the screen but with the ability for the provider to add sections if they are necessary
  • The ability to drive best practice, including content and activities, based on patient diagnosis and clinical presentation
  • The ability to store and quickly access physician and other general protocol documents
  • Functional and measurable goals
  • Insight into coding edits being applied
  • Use of smart text and formatting to build sentences and reduce typing 

What’s the Timeline for These Changes?

So how soon can you expect these changes to your provider journey? Well, we can say for certain that 2023 is going to be a very busy year! Here’s a quick overview of our current timeline:
